EVERBOOK

For wedding lighting and AV companies

Lighting and AV software that respects load-in.

Packages and gear priced together. Site walks in the pipeline. A load-in window agreed with the venue before the day.

What breaks

First in the room. Last to know.

You need the room before anyone else, and you hear about it last. Load-in gets scheduled around the vendors who booked earlier. The first mention of ceiling height comes when you stand under it.

Built for lighting and AV teams

From the first conversation to the wedding day.

01

Packages and gear in one catalog

Priced per package, with cost built from the gear inside it. The quote survives contact with the pull list.

02

The site walk goes on the record

Available power, rigging points, ceiling height, venue restrictions, and who calls cues. Real fields in your Lighting & AV section, confirmed once and readable by everyone.

03

Load-in ahead of the floor

Your load-in and strike windows sit on the shared run of show. The venue and every vendor scheduling around you can see them.

04

One shared event record

The room, the load-in and strike windows, and every other vendor scheduling around you, on one event. Not the place settings.

How it works

From inquiry to final payment.

  1. 01

    An inquiry arrives

Your inquiry form feeds your pipeline. Everbook drafts the reply. You review it and send.

  2. 02

    They book a site walk

Clients pick a time on your booking page. It lands on your calendar with the lead attached.

  3. 03

    You send a priced proposal

Everbook drafts it from your Packages & Gear. You adjust it and send. Clients view and accept it online.

  4. 04

    They sign and pay

Contracts, signatures, and deposits are built in. No second tool.

  5. 05

    The event builds itself

A booked proposal becomes an event record with its own Lighting & AV section. Change a detail once. Everything that uses it updates.

  6. 06

    You get paid

Invoices and payments stay on the same record, through the final balance.

What changes

Less reconstruction. More control.

Everbook is not another task list. It is the operating system for wedding professionals, organized around the event you sell and deliver. Ask Oracle, the built-in analyst, where leads stall or which events need attention. It answers from your data, with numbers.

  • Load-in agreed before the week of
  • Gear priced inside the package that sells it
  • Venue constraints on the record after the site walk

Common questions

What lighting and AV teams ask us.

Do you do power load calculations?

Everbook records available power, rigging points, ceiling height, restrictions, and whether a generator is needed. It records the answers; it does not compute the load. A calculator is on the roadmap.

Can the venue see our rig times?

Yes. That is the point of the shared timeline. They see your windows and you see theirs.

Can we bring what we already have?

Yes. Export from your current tools, spreadsheets included. We map the data and load it. Before you commit, we show you exactly what did not come across. Migration is included.
